Student Relations & Resolution Procedure

   At Bloom Academy, we are committed to maintaining a professional, respectful, and transparent academic environment. We encourage students to address concerns promptly and through the structured process outlined below to ensure fair and documented resolution.


   All concerns must follow the steps described below.


Step 1 – Instructor Level Resolution

Students must first address academic or classroom-related concerns directly with their assigned instructor.

  • The instructor will respond within 3 business days.
     
  • Students should provide clear details of the concern to allow proper clarification.
     

Most concerns can be resolved at this level through direct communication.


Step 2 – Academic Coordinator Review

   If the matter is not resolved at the instructor level, the student may escalate the concern to the      Academic Coordinator.

  • The coordinator will acknowledge receipt within 3 business days.
     
  • A review will be conducted within 7 business days.
     
  • A written response will be issued following the review.
     

   The coordinator may request supporting documentation if necessary.

Step 3 – Formal Administrative Review

If the concern remains unresolved after the first two levels, the student must complete the Student Resolution Form below to request formal administrative review.

The form must include:

  • Student’s full legal name
     
  • Program enrolled
     
  • Dates of attendance
     
  • Detailed description of the concern
     
  • Summary of previous attempts to resolve the issue
     
  • Clear statement of the requested resolution
     
  • Supporting documentation uploaded directly through the form
     

   Students are required to upload any relevant files, including emails, screenshots, contracts, payment records, or other supporting materials. Failure to provide documentation may delay or limit review.

Timeliness Requirement

Concerns must be raised:

  • During active enrollment whenever possible
     
  • Within 10 business days of the issue occurring
     
  • No later than 15 business days after program completion
     

   Concerns submitted outside this timeframe may be considered untimely and may limit the scope of review.

Failure to raise concerns during enrollment may be considered acknowledgment that services were delivered in accordance with the signed enrollment agreement.


Administrative Review Timeline


   Upon receipt of a completed and documented submission:

  • The matter will be formally logged in the student’s academic file.
     
  • Relevant documentation will be reviewed, including attendance records, curriculum delivery, instructor reports, grading documentation, and the signed enrollment agreement.
     
  • A written determination will be issued within 10–15 business days.
     

   Incomplete submissions may delay review.


   Financial Matters & Institutional Protections

Financial obligations remain governed by the signed enrollment agreement and institutional policies.

Outstanding balances are not automatically suspended during the review process unless expressly authorized in writing by administration.


Initiating a chargeback, payment dispute, or external complaint before completing the internal resolution process may result in administrative action in accordance with the enrollment agreement.


   Final Determination


    The written administrative determination concludes the institution’s internal resolution process.

Bloom Academy remains committed to professional and lawful resolution and will cooperate with any regulatory review if required.
